Open Text Delivers Full Compliance with Rigorous Victorian Records Management Standard

 • 16 April, 2008 08:50

The development work for Open Text’s eDOCS solution was carried out in Australia.

VERS was developed by the Victorian Government over a 10 year period to address the problem of capturing, managing and preserving important digital information for the public record. It has also been accepted and adopted by government agencies outside Victoria.

The Director of Public Record Office Victoria, Justine Heazlewood, has congratulated Open Text on its outstanding achievement. "Not only has Open Text's solution satisfied all the mandatory criteria of the VERS Standard to qualify for certification, but it has also met all the optional certification criteria," she said.

VERS Sets Standard for Best Practice
Open Text’s Public Sector Sales Director, Greg Mennie, said the stringent Victorian standard is already emerging as a best practice document management standard for government departments and agencies all over Australia, since it ensures the long term preservation of digital data.

“Whether you’re talking about standard word documents and spreadsheets or more complex data like photographs, maps, video, and other multimedia, our records management solution handles them all with ease,” he said.

“The Victorian standard is easily the most rigorous in Australia and possibly the world, since Australia is a recognised global leader in records management,” Mr Mennie said. “Not only is VERS the standard to which all Victorian government departments must comply by the end of 2008, but it has already been adopted in South Australia and is under consideration by other states and territories, as well as New Zealand. We receive tenders from all over Australia seeking VERS compliance as part of their selection criteria, and our international colleagues will sometimes tell us it’s even been referenced in a tender overseas,” he said.

Open Text’s formal certification to the VERS standard now means that its government customers can begin the process of achieving their own VERS accreditation.

“Since a department must have VERS-compliant technology in order to begin its own certification, our accreditation opens the way for them to move forward with this process. One of our largest government customers will become certified to the VERS standard within the next few months, while another is planning to begin its certification process as soon as possible,” Mr Mennie said.

Superior Design Approach Protects Customers, Aids Productivity
Open Text has future-proofed its customers’ investment in eDOCS with a design approach that makes it easy to ensure full VERS compliance both with future versions of its software and any updates to the VERS standard itself.

“We built a flexible VERS module that interacts with standard eDOCS implementations to ensure compliance,” he said.
“This greatly reduces the work involved in maintaining VERS compliance as we continue to develop and update our software over time, while protecting the investment our customers have made in our technology. It’s a win-win!”

Open Text’s eDOCS solution is also popular with clients for its superior usability. “We recognise that most of our users are not records managers, but need to contribute to the capture and management of important information, so we offer a highly intuitive user interface underpinned by powerful workflow processes to enhance the customer experience and drive productivity,” said Mr Mennie.

“Open Text is committed to doing whatever is necessary to maintain our leadership in the records management space. Our success in achieving VERS compliance is just a stepping stone in our journey to support the needs of our customers with the most function-rich, user-friendly and relevant technology solutions.”
