University of Newcastle Selects Interwoven Enterprise Content Management Solution

Interwoven Addresses Unique Needs of Higher Education Institutions

Sydney, Australia – 26 July 2004 – The University of Newcastle has joined fellow leading Universities, Monash University, the University of Sydney, the University of NSW and the Australian National University, in selecting Interwoven’s leading enterprise content management (ECM) software, TeamSite, to power its public and internal information Websites.

The University of Newcastle’s Website, like so many others, had previously evolved out of individual efforts of sub-site managers in faculties, directly managing and developing their web pages in web publishing applications or using html code. “We realised that the time had come for a total rebuild,” explained Trevor Gerdsen, Executive Director Infrastructure Services at the University. “We recognised that this would require a structural design solution in order to address such issues as the underlying structure and management processes of the Website.”

With Websites now ranking second only to campus visits as a source of information for prospective student’s in their college search, it is hardly surprising that Universities and colleges are now beginning to invest in their Websites far more than in traditional channels, viewing them as major communications tools for both internal and external audiences.

After a detailed tender process undertaken with external consultants who had experience of software selection in the corporate world, the University selected TeamSite, Interwoven’s proven ECM solution, from a short-list of four. “We needed a solution that would allow for content creation by non-technical users, workflow management, back-end integration, version control, customisation and reporting,” commented Gerdsen. “TeamSite best met the specifications and requirements laid down in the RFT documents and had outstanding customer references to support it.”

The ECM solution will control the management of the Website through full version control, workflow, authorisation and archiving. This will bring with it efficiencies in the management of the site but also legal compliance with key statutory requirements and regulations.

“One of the great advantages of an ECM solution is that staff can focus their time and energies on the quality and currency of their content, and allow the ECM solution to take care of the processes and workflows through which that content is published and managed in the web environment,” Gerdsen explained. “This is a totally different way of managing our Website and it will be a vast improvement in terms of manageability, quality control, search, navigation and professional appearance. The end result will be a far more user-friendly and satisfying experience for all who use our Website, both internally and externally,” he concluded.

The roll-out of the project began in March 2004 with the faculty of Science & IT and the University’s ‘corporate’ level web pages the first to be involved. Once the initial implementation has been completed, expected to be at the end of the month, the focus will be to move all faculties and service portfolio groups to ensure that the transition to TeamSite is smooth and that the needs of the users are met.

“Interwoven Australia has invested heavily over the past four years to understand and meet the unique needs of the University and Education sectors,” commented Richard Collins, managing director for Interwoven. “They are telling us that our content management and collaboration solutions are increasingly playing a more significant role in effectively and accurately targeting prospective students whilst helping them build their visibility and enhance their position in the marketplace. We are pleased to welcome the University of Newcastle to the fold."
